Introduction

In Canvas, students' final grades are submitted by selecting the Submit Final Grades to MySPC button in the Gradebook in each individual course. This guide reviews the process for submitting your students' final letter grades to SPC's enrollment and student information system (MySPC).

Submitting Final Grades

  1. Navigate to your course in SPC's Canvas instance, click on Grades in your course navigation, and click on Submit Final Grades to SPC

  2. The Submit Final Grades to MySPC Menu will appear on the right side of the screen. Select the Submit Final Grades to MySPC button to enter the Final Grades Wizard (1). Select the Final Grades tutorials if you need assistance (2, 3).

    Note: If you're submitting prior to Grades Week, a pop-up will appear alerting you to the fact that you are trying to submit grades prior to the start of Grades Week. It will say, "There are ___ days until the start of Grades Week." It will also let you know that if you submit grades earlier than two weeks from the end of the course, your dean will be alerted. You'll need to select OK (to continue) or Cancel (to stop the grades submission process) in order to move past this pop-up. 

  3. Check for Missing Assignments: Now, the Final Grades wizard will scan your gradebook for missing assignments. You cannot submit final grades with blank cells. All published assignments must have a grade entered, a 0 entered, or be marked excused. Please refer to the Gradebook Integrity Check tool to catch all outstanding grades. 
    • If there are no missing assignment grades found, you'll see a thumbs up icon and be moved to Step 2 automatically.

    • If there are missing grades, you'll see them listed (grouped by assignment). Please select the Return to Gradebook button, make sure every cell has a grade or is excused, and then begin the Final Grades submission process again. Please refer to the Gradebook Integrity Check tool to catch all outstanding grades.

  4. Grading Scheme: Select the appropriate grading scheme for the course. The current grading scheme will be displayed at the top (1). If you need to select a different grading scheme, select the appropriate scheme here (2). Then, select the Evaluate Student Grades button on the bottom right (3).

Note: If you choose a different grading scheme than the one you've been using for the duration of your course, a pop-up will appear warning you that this may alter students' grades without notifying them. You'll need to select Cancel, and then reselect your original grading scheme, or the Change Grading Scheme button to confirm that you understand the risks.

  5. Evaluate Student Grades: The evaluate student grades screen is where you override any final grades and provide comments. If you'd like to override a final letter grade (for instance, round an 89.5% up to an A, instead of a B), you will:
    1. Navigate to the Grade Override column and check the box next to the student whose grade you're overriding (1)
    2. Input the numeric grade you'd like to assign the student. In this example, you'd change 87% to 90% ub order to assign the student an A (2).
    3. Enter a comment (3). This is required. 
    4. Click Save to save the comment (4). This is required. 
    5. Select the Select Students to be Submitted button at the bottom. 


       
  6. Select Students to be Submitted: Review grades for accuracy and confirm that any Grade Overrides are showing correctly with comments. and then select the top checkbox to select all students (1). Then, select Confirm and Submit (2). 

  7. Confirm and Submit: Check the box next to I am ready to submit my final grades to SPC (1) and then select the Submit Final Grades button (2).

  8. Grades Processing: After a short wait, grades will be submitted to MySPC. You'll see a grid showing three rows:
    1. Total number of student grades
    2. Number of grades submitted
    3. Number of grades remaining to be submitted

Submitting Grades for Some Students 

If you'd like, you can submit grades for just some students. Instead of selecting all students, simply select the ones whose grades you'd like to submit.

Then, you'll see a screen reminding you that not all student grades are currently being submitted. If this is correct, check the "I am ready to submit my final grades to MySPC" box and submit. Remember to go back and submit the grades for all other students during Final Grades week!

Grade Errors

If you made an error in your grades, and you realize this soon after submitting, contact the Academic Technology Support team via email at atst@spcollege.edu or call us at 727-341-3500. If it is within an hour of submission, we may be able to reset your grades so you can resubmit. If we're not able to reset, then you'll need to submit a grade change form for each student. In any event, please contact us as soon as you notice the error and we will work with you and communicate next steps.

Assigning Incomplete Grade

  2. Follow the steps above Submitting Final Grade steps 1-7.
  3. Evaluate Student Grades: An incomplete grade is essentially a grade override. Instead of overriding a grade of 79% to 80% to assign a student a B, you're overriding the student's current total grade to assign an incomplete instead. 

  1. Navigate to the Grade Override column
  2. Check the box next to the student whose grade you're overriding to assign an incomplete
  3. Input a grade of 0 for the student. 
  4. Type and save a comment.
  5. Verify the grade of I for incomplete.
  6. Select the Select Students to be Submitted button at the bottom.
