FAQs for Faculty: Course Migration and Archiving

What is course migration?

Course migration is the process of transferring course content, such as assignments, quizzes, discussions, and resources, from one learning management system (LMS) to another. In this case, courses are being moved from MyCourses (D2L Brightspace) to Canvas

Why are courses being migrated?

Courses are being migrated to provide a more streamlined and enhanced learning experience for students and faculty. Canvas offers updated tools, an improved user experience, and new features that align with long-term institutional goals.

Which courses are being migrated?

The courses being migrated are those that faculty have previously submitted for migration. Only the courses that instructors specifically requested for transfer to Canvas will be part of the migration process.

When will the courses be migrated?

Currently, courses are being migrated for instructors participating in the Spring 2025 pilot. The next wave of course migrations is expected to be completed on or about November 1st, 2024

What if there are problems with my course post-migration?

The IDEAS team is developing quick guides to help faculty resolve any issues that may arise post-migration. In addition, both the IDEAS team and Academic Technology will be available to provide faculty with guidance and support during this process.

What is course archiving?

Course archiving refers to the process of saving course data, including course materials and student submissions, in a separate, secure system for long-term storage. Archived courses are stored outside the active LMS environment but can be retrieved if needed.

What MyCourses (D2L) courses will be archived?

Five years of courses from MyCourses (D2L) will be archived. These include any courses from the last five academic years that are not migrated to Canvas.

How will the archive process work post D2L-Canvas Migration?

After the migration, we will maintain 3 years of courses on Canvas and 5 years of courses on the K16 archive platform, for a total of 8 years of historical course data. Older courses will be moved from Canvas to the K16 archive as they exceed the 3-year retention period.

When will my courses be archived?

The archive process for all classes from Summer 2020 through Summer 2024 will begin as soon as the second round of course migrations is complete. Courses from the Fall 2024 term will be archived in early Spring 2025, and Spring 2025 courses will be archived in the week following the end of the Spring term.

Can archived courses be retrieved?

Yes, archived courses can be retrieved from K16’s archive system. Faculty can request archived course data if they need to access course content, grades, or other records for auditing, teaching, or accreditation purposes. To request access to an archived course, please email ATST@spcollege.edu

Will students have access to archived courses?

No, students will not have direct access to archived courses. However, course content or specific information can be retrieved by instructors or administrators if needed for special cases, such as grade disputes or academic reviews.
