Enrollment and course data such as: which sections need to be created, active students in the system, who is enrolled or withdrawn from a course, or the instructor teaching the course, is passed from PeopleSoft (MySPC) to MyCourses. 

Changes made in PeopleSoft will be reflected in MyCourses shortly after they're made, but in some cases, such as course sections and templates, updates can take up to 24 hours to process into MyCourses. This process was never immediate, but in 2021 a new customized integration was written in-house at SPC to aid these processes. This was created because D2L ended the prior method of transferring data from PeopleSoft. With this update, there is a rolling schedule of certain sync jobs running that bring MyCourses up to match was is currently in PeopleSoft. 


Therefore, if a student withdraws from your course, or a new instructor is taking over a course (for example), there is a short delay before MyCourses will reflect those changes. 

 

Schedules for Sync Jobs

The data being moved from PeopleSoft to D2L/MyCourses via the Academic Technology sync jobs involve: 

  • commons enrollments

  • class enrollments (students and faculty)

  • course templates

  • course offerings (including merged courses)

  • course sections (which are required for all course offerings)

  • user adds/updates  


    The following table shows how often each of the sync jobs run throughout the day:

  • It is important to note that the times above are when each process Starts, and each process can take anywhere from 2 minutes to 2 hours before completion.
  • The sync job for Sections is what prompts new course sections to be added to your MyCourses account. 
  • Sync jobs run on this particular schedule because of the sheer volume of data being processed.  Oftentimes, data is synched over the course of multiple terms (e.g. current and next, current and previous, or all three). 



Requests for Changes Outside of Sync Jobs

User processing (adding new students) is scheduled for twice per day, however, urgent additions and updates can be made by the Academic Technologies team. The same holds true for enrollments.  If a student urgently needs to appear in a D2L/MyCourses class list before the next enrollment sync job is run, the Academic Technologies team can process them manually.  These are extreme exceptions to the regularly running sync jobs but can be done at the discretion of the Academic Technologies team.
