Intelligent Agent: Sending an Attendance Reminder Email

Intelligent agents are a great way to automate some of the more routine functions of your course. This tutorial reviews creating an intelligent agent that will run every day for one week if a student has not logged into the course in the last 5 days. This can help re-engage students.

Step-by-Step: 

  1. Click on Edit Course on the Navbar

  2. Click on the Intelligent Agents option under the Communication header


  3. Click on New

  4. Enter a descriptive Agent Name

  5. Enter a Description (This is optional but it will help you track and reuse the intelligent agent in the future)

  6. Check Agent is Enabled (This will allow the agent to run based on the schedule you will select further down.  If this box is not checked, this agent will not run unless you chose to run it manually)

  7. Under Course Activity, check the box next to Take action when the following course activity criteria are satisfied:

  8. Enter 5 into the User has not accessed course for at least

  9. Under Repetition, select an action:  

    1. Take action only the first time the agent's criteria are satisfied for a user (The agent will only be run once, it will not run again if the student meets the criteria at a later date)

    2. Take action every time the agent is evaluated and the agent's criteria are satisfied for a user (The agent sends an email to all users that satisfy its criteria every time the agent is evaluated)

  10. Under Send an Email, check Send an email when the criteria are satisfied

  11. Enter {InitiatingUser} into the To field

  12. Enter an email Subject  (Do not use replacement strings such as {firstname} in the email subject or message areas of this email.  If the student has chosen to forward emails out of MyCourses to their personal accounts, those replacement strings will not load correctly)

  13. Enter the Reminder Message you would like the students to receive

  14. Under Scheduling, check the box next to Use Schedule

  15. Click on Update Schedule

  16. Set Repeats to Daily

  17. Set Repeats Every to 1

  18. Check Has Start Date: (By default, that start date will be set for the current day, change accordingly)

  19. Check Has End Date: (By default, the end date will be set for one week after the start date, change accordingly)

  20. Click on Update

  21. Click on Save and Close
