Digital Student ID Training for Staff (CloudCard)

How to process student ID submissions: 

  1. Navigate to https://idphoto.spcollege.edu/ and sign in. 

  2. Select Photos from the left navigation panel (1), and then select the Pending (2) tab. 



    On this panel, you can view the submitted student ID photos. They are divided into four groups: pending, approved, denied, and downloaded. CloudCard automatically approves and denies many submissions, but you will use the pending area to manually approve and deny all remaining submissions.



  3. Select pending. CloudCard uses an AI-based system called Helper Bot to gauge incoming pending photos and grade them for quality. You can use this data to work with large groups of photos (for instance, you can approve all green photos, review all orange photos, and deny all red photos), or you could go through one by one.

    The color code is as follows: 
    Green: Helper Bot is confident this is a good ID photo. 
    Red: Helper Bot is confident this photo would not be good for identification. 
    Orange: Helper Bot isn't sure enough to make a decision. 
    Grey: Helper Bot hasn't had a chance to look at this photo yet. 

    SPC Digital ID photo requirements: 
    Should be a photo of the student alone (no other people or pets, and not a photo taken with other people but with the student cropped out). 
    Should be cropped slightly above head to middle of chest
    Should be taken against a plain, light background
    Must be a high quality color photo
    Must not be heavily edited in a way that reduces clarity
    Must not include sunglasses, hat, or other accessories
    Must be positioned directly facing the camera
    Eyes should be open and looking at the camera
    Please do not submit your driver's license, passport, or other documents for your ID Photo submission.

    SPC Supporting Documentation requirements:
    Clear photo of documentation (license, state ID, etc)
    Student's face is visible
    Face on document matches the face in the photo

    Use the pending screen to approve or deny. You can select the horizontal colored bar to approve or deny all photos coded a specific color. Or, you can select the crop button to crop, the thumbs up to approve, or the thumbs down to deny. 




How to Deny

  1. Once inside the pending folder (1), choose a submission to review. To deny, based on the SPC Digital ID photo requirements, select the thumbs down (2) on the right side of the screen, underneath Actions. 
  2. When you select the thumbs down to deny, the "Why are you denying this photo?" window appears. Please select a reason (1), type in any additional information about the denial in the Note to Cardholder section (2, optional), and select Submit (3). 


Note: If students' photos are denied, either by an admin or by Helper Bot, they will get an email to their @live.spcollege.edu email explaining why. See also: How do I access my student email?



How to Approve

  1. Once inside the pending folder (1), choose a submission to review. To approve, based on the SPC Digital ID photo requirements, select the thumbs up(2) on the right side of the screen, underneath Actions. 
  2. If a closer look is needed, click on the photo (1) or ID thumbnail (2).
  3. Only approve submissions with a valid photo and documentation. If there is a valid photo (1), but no valid documentation (2), deny the submission by selecting the thumbs down.
     

CloudCard administrators' manual processing expectations: 

Clear pending folder daily

It is the job of the SPC CloudCard ID administrators to review the pending folder daily and approve or deny all submissions. This is extremely important, as these submissions contain sensitive student information. After you approve or deny, it may take 10 minutes for a photo to move from the Pending folder to the Denied or Approved folders. 

Review denied folder and delete all photos with sensitive information

After the pending folder is cleared, wait ten minutes, and then review the submissions in the denied folder. Please review each photo and document submission and delete any photos or documents with sensitive information (for instance, driver's license pics). Keep in mind, sometimes students may hold the document in the photo, so please check both columns and delete anything containing sensitive information.
