Making PDFs Accessible with YuJa Panorama’s OCR Tool

As we move towards our college goal of 90% accessibility for each course overall and each item in each course, a common issue we're seeing is that some scanned PDFs are 0% accessible. This guide and accompanying video tutorial demonstrate how to remediate them using YuJa Panorama.

Using Panorama to Generate an OCR Overlaid PDF 

  1. Navigate to the course report. 
    1. Select Panorama in your third party tools.

    2. Select Course Report.

  2. Scroll all the way down to your files, go to the scanned PDFs, and locate a file that's showing a 0% accessibility score.

  3. Go to actions on the right, select the ellipses, and then select View to open up the Alternative Formats Menu.

  4. Select OCR formats.

  5. Hover over the OCR Overlaid PDF button and select Generate to generate a new, OCR Overlaid PDF. It's going to take some time to process, and it could be 10 minutes or longer depending on file size.

  6. Once it's ready, you'll see options to View, Download, or Reprocess. We recommend downloading a copy of the OCR Overlaid PDF version to your computer.

  7. Select Back to return to the original Alternative formats menu.

  8. Select View to view the Accessibility Report.
  9. At the bottom of the Accessibility Report panel, select the ellipses (1), and then select Replace with Alternative Format (2).This option allows you to replace the original document with a new, more accessible version.

  10. Select the new, OCR Overlaid Tagged PDF document that you just created (1), and select Replace to replace the document (2).

  11. Review the updated accessibility score. In this case, it increased from 0% to 62% accessible.
    Note: This could take a few minutes to process.

Next Steps: Continue Remediation 

Before, the PDF document was a picture. Now, we've added an OCR text layer, which is invisible, computer-recognized text that sits on top of the image. It looks the same to those of us who can see, but now, it can be read by assistive technology like screen readers.

In this case, there's still work to do, like adding a title, and increasing the font size. But now that we've added that OCR text layer, Panorama can see those issues, and we can use Panorama to remediate them.

Please note, this is not the only way to do this. We're showing you how to do this in YuJa Panorama since it's available and built into Canvas. However, you can use Adobe Acrobat, Microsoft Word, and other programs to make a PDF accessible.
